It is useful for counsel to develop a systematic method for organizing client files.
A consistent approach to file organization allows both counsel and support staff to archive and retrieve relevant information quickly.
One efficient method is to use colour-coded file folders for each of the following:
· Client identification and contact information;
· Retainer and billing information;
· Release conditions;
· Designations of counsel;
· Court appearance logs;
· Running file notes (memos to file, correspondence, etc…); and
· Analysis (strategic and tactical considerations).
With respect to the disclosure materials, it is useful to prepare a trial binder, organizing all relevant information by witness. A trial binder allows counsel to navigate the disclosure materials rapidly and to assess, at an early stage, whether disclosure is complete.
